Workflow for Social Success.

Execution is where the strategy meets the world. Learn to batch, schedule, and engage with zero-error precision.

The Support Workflow

Efficiency isn't about working faster; it's about working in batches. This is how high-level VAs protect their time and their client's brand.

Batching

Group tasks by "type." Write all captions at once, then design all graphics. This prevents mental fatigue and context switching.

Scheduling

Never post "live." Use tools like Meta Business Suite or Buffer to schedule content at peak times. Always review the "Grid View" before finalizing.

QA Control

The "Final Eyes." Check links, handles, and typos in graphics. A post without a working link or a broken tag is a wasted effort.

Logic

Not every comment needs the same energy. Use this logic to stay on-brand and keep the community healthy.

Positive / Emoji

Action: Like + Brand Reply

Example: "Love this tip! 🔥"
Reply: "So glad it resonated, Sarah! Which one are you trying first?"

General FAQ

Action: Answer + CTA

Example: "Do you offer this in blue?"
Reply: "We sure do! You can see the full palette at the link in our bio."

Complaint / Issue

Action: Acknowledge + DM

Example: "Order hasn't arrived!"
Reply: "We're checking your status now—watch for a DM to resolve this!"

The Escalation Rules

You Handle

General praise, simple FAQs (hours, links), tagging people, and emoji reactions.

Alert Client

Refund requests, partnership inquiries, and technical bugs reported by users.

PR Crisis

Legal threats, viral hate threads, or offensive speech. DO NOT REPLY. Alert client instantly.

The Zero-Error Checklist

The "Final Five" check before every schedule.

Step 01

Link Validation

Click the link in your bio or caption. Does it lead to the intended page or a 404?

Step 02

Active Handle Check

Are all @tagged accounts active and clickable? Broken tags look amateur.

Step 03

Graphic Typos

Review the text INSIDE the graphic. Typos in images are harder to fix later.

Step 04

UI Safe Zones

Is the text covered by Reel buttons, the like heart, or captions?

Step 05

Timeliness

Is a "Happy Monday" post correctly scheduled for Monday? Is it outdated?
